These Terms and Conditions govern your use of physiotherapy, sports massage, and strength and conditioning (S&C) services provided by Gallos Performance, operated by Will Phillips (sole trader), based in Cardiff, Wales. By booking a session or programme with us, you agree to the terms set out below.
If you have any questions about these terms, please contact us at gallosperform@gmail.com before booking.
1. Our Services
Gallos Performance provides physiotherapy, sports massage, and strength and conditioning services, including one-to-one sessions, assessment and treatment, exercise programming, and event physiotherapy cover. Services are delivered in person and, where appropriate, remotely via video consultation.
Physiotherapy and sports massage services are delivered by Will Phillips, an HCPC-registered physiotherapist and MCSP member. S&C and personal training services are delivered as an integrated part of the same practice, informed by clinical assessment where relevant.
2. Online and Remote Services
Some services are available remotely, including live video physiotherapy consultations and remote strength and conditioning programming. Remote services are currently offered to clients based in the UK only.
Video consultations. Live video consultations are conducted via Google Meet. We do not record these sessions.
Suitability for remote assessment. Remote physiotherapy has limitations that in-person treatment does not. We cannot physically palpate, manually assess, or apply hands-on treatment during a video consultation, and visual assessment of movement may be less precise than an in-person examination. We will tell you if we believe your presentation is not suitable for remote assessment alone, and may recommend an in-person session or referral elsewhere where appropriate.
Remote S&C programming. Where S&C programming is delivered remotely (including via FitPros.io or Fitr) without an accompanying live consultation, you are responsible for performing exercises safely, using appropriate equipment, and stopping if you experience pain beyond expected exercise discomfort. Please contact us promptly if anything in a remote programme feels unclear or inappropriate for your circumstances.
Technical requirements. You are responsible for ensuring you have a stable internet connection, a suitable device, and a private, safe space in which to take a video consultation. We are not responsible for call quality issues arising from your equipment or connection.
3. Bookings
Bookings are made online via Setmore or by direct contact. By booking a session, you confirm that the information you provide (including health and contact information) is accurate and complete to the best of your knowledge.
New clients will be asked to complete an intake form, health screening questionnaire (PAR-Q+), and informed consent form before their first session. We reserve the right to decline or postpone a session where required health and consent information has not been provided.
4. Cancellations, Rescheduling, and No-Shows
We understand that plans change, and we ask for the same courtesy we offer in return.
Client cancellations. If you need to cancel or reschedule a session, please give us at least 24 hours' notice. Cancellations made with less than 24 hours' notice will be charged at 50% of the session rate.
No-shows. If you do not attend a scheduled session without prior notice, this will also be charged at 50% of the session rate, in line with our late cancellation policy.
Cancellation fee payment. Where a late cancellation or no-show fee applies, we will send an invoice via Stripe for the amount due. Payment is expected within 7 days of the invoice being sent.
If we need to cancel. If we needs to cancel or postpone a session for any reason, we will offer you a free reschedule at the next available appointment, at no additional cost to you.
This policy applies consistently across all session types, including physiotherapy, sports massage, individual S&C/personal training sessions, and video consultations.
5. Payment
Payment for sessions is due at the time of booking or at the time of treatment, depending on the service and how you have booked. We accept payment online via Stripe and in person via Square.
For S&C and personal training clients on a programme or package, payment terms will be agreed and confirmed at the start of the programme.
All prices are listed on our website and are correct at the time of publishing. We reserve the right to update our prices from time to time, with reasonable notice given to existing clients ahead of any change taking effect.
6. Health Information and Informed Consent
Physiotherapy, sports massage, and S&C programming involve physical assessment, hands-on treatment, and structured exercise. Before treatment begins, you will be asked to complete a health screening questionnaire and provide informed consent. This applies equally to remote and in-person services.
It is your responsibility to disclose any relevant medical conditions, injuries, medications, or other information that may affect your treatment or your ability to safely participate in exercise. If your health circumstances change at any point during your time with us, please let us know as soon as possible.
We reserve the right to modify, pause, or decline treatment or programming where we believe it is not safe or appropriate to proceed, and to recommend referral to another healthcare professional or an in-person session where necessary.
7. Assumption of Risk
Physical activity, exercise, and manual therapy carry an inherent degree of risk, including but not limited to muscle soreness, strain, and (in rare cases) more significant injury. By participating in any service provided by Gallos Performance, whether in person or remotely, you acknowledge and accept this inherent risk.
We will always take reasonable care in our assessment, treatment, and programming, in line with HCPC standards and current clinical guidance. However, we cannot guarantee a specific outcome or rate of progress, and we are not liable for injuries arising from your participation in recommended exercise outside of supervised sessions, where instructions have not been followed as given, where pre-existing or undisclosed health conditions contribute to an adverse outcome, or where the limitations of remote assessment outlined in Section 2 contribute to an adverse outcome and you were made aware of those limitations.
8. Liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be excluded or limited under UK law.
Subject to the above, Gallos Performance's liability for any claim arising from our services is limited to the value of the relevant session or programme fee paid.
9. Photography and Media
We will only use photography or video of you for marketing, social media, or case study purposes where you have given explicit, written consent via our media consent form. You may withdraw this consent at any time, and we will remove any relevant content within a reasonable timeframe of your request.
10. Your Data
We collect and process personal data, including health information, in order to provide our services. Full details of what we collect, how we use it, who we share it with, and how long we keep it are set out in our Privacy Notice — please review this alongside these terms.
11. Programme and Exercise Content
Where we provide you with an exercise programme, training plan, or written guidance (including via FitPros.io or Fitr), this content is provided for your individual use only. You may not share, resell, or redistribute programme content provided by Gallos Performance without our prior written permission.
12. Event Physiotherapy Cover
Where Gallos Performance provides physiotherapy or sports massage cover at an event (such as a running festival or ultramarathon), these terms apply to any individual treatment provided during that event, alongside any specific terms set by the event organiser.
13. Changes to These Terms
We may update these terms from time to time to reflect changes in our services or applicable law. The current version will always be available on our website, with the date of the last update shown at the top of the page. Continuing to book or use our services after an update constitutes acceptance of the revised terms.
14. Governing Law
These terms are governed by the laws of England and Wales. Any disputes arising from these terms or our services will be subject to the exclusive jurisdiction of the courts of England and Wales.
